To proceed with the cancellation, please notify us in writing via email or through our official communication channels. Depending on the stage of the project and the resources allocated, the following conditions will apply:

    a) If the cancellation request is made within 3 business days of signing the agreement and no significant work has been initiated, you will receive a full refund of any advance payment made.

    b) If the cancellation request is made after 3 business days of signing the agreement or after the commencement of work, a portion of the advance payment may be retained to cover administrative and project setup costs. The specific amount retained will be evaluated on a case-by-case basis.

  2. Termination of Ongoing Projects: In some cases, unforeseen circumstances may lead to the termination of an ongoing project. If such a situation arises, please inform us immediately in writing about your decision to terminate the project. The termination terms will be as follows:

    a) The client will be billed for the work completed up to the termination date, based on the mutually agreed-upon project milestones and pricing.

    b) Any advance payment made for the project will be adjusted against the billed amount, and if there is any remaining balance, it will be refunded to the client.

    1. Non-Refundable Items: Certain expenses and third-party services, such as domain registrations, hosting fees, licenses, and software subscriptions, are non-refundable. These costs are incurred as part of the project and are subject to the terms and conditions of the respective service providers.

    2. Timeline for Refunds: Upon approval of a refund request, we will process the refund within 15 business days. Please note that the actual time it takes for the refund to reflect in your account may vary based on your payment provider’s policies.

    3. Amendments to the Policy: Optimal IT Solution reserves the right to modify or update this Cancellation & Refund Policy at any time. Any changes made to the policy will be effective immediately upon posting on our website. We recommend reviewing this policy periodically to stay informed about any updates.
